The patient list searches by name, phone, email and year of birth. The national ID number is stored encrypted and is never shown in the list.
New patient
- On the Patients screen, choose + New patient.
- Fill in the name and contact; you can add the national ID number and insurer any time later.
- If the clinic already has a patient with the same national ID number, or the same name, date of birth and phone, FyzioPlan warns you and asks you to confirm.
Patient card
- Timeline shows appointments, records, payments and messages in one stream; filter it by type.
- Episodes and referrals track the care plan and referral deadlines – see Records.
- Payments and Passes show what the patient paid and what is due.
- Consents and Access log belong to GDPR – see GDPR and consents.
- Files are attachments (reports, scans); a new file stays in quarantine until it passes the check.
- Compare photos (in the Files tab, from two therapy photos): two photos side by side, a before / after slider on phone and tablet, with the date and an optional label. Viewing is written to the Access tab for both files; only roles that may read therapy photos see it (not reception or accountant).
- Legal guardian (Details tab): the guardian’s name, relationship, phone and e-mail, stored encrypted. It is offered straight away for a minor patient (from the date of birth) and with Add legal guardian for an adult. Messages to the patient (reminders, confirmations) go to the guardian’s contact when you turn on Send to guardian, or when the patient is a minor without their own phone or e-mail; the message content does not change. For a consent in the Consents tab you choose whether the patient or the guardian gave it. In online booking the guardian can tick I am booking for a child / a person I act for; after approval the guardian is saved on the card.
- Online booking (Details tab): block online booking for a patient with an internal reason – see Online booking.
- Merging duplicate cards (the “…” menu on a card and the Possible duplicates button in the list; owner, administrator and reception): choose the card to keep, FyzioPlan shows what will be moved (appointments, records, payments, invoices, files, consents, waitlist, passes, account link, exercise programs) and lets you choose the value where personal data differ. The source card is archived and shows Merged into …; signed records stay valid. Merging cannot be undone; it is not possible when both cards are on the same appointment or both have a linked patient account.
- Erasing patient data (archived card, “…” menu, owner and admin only): a card without medical documentation and accounting documents is erased permanently after you type the last name. Otherwise FyzioPlan explains the legal retention period (10 years after the last visit by default), erases unneeded data (phone, e-mail, internal note, marketing consents, saved cards, account link) and schedules erasure after the period ends; a nightly job then erases the card including documentation and files.
