Features
What FyzioPlan takes off your plate, area by area: from patient booking to accountant paperwork. Images are real app screens with sample data.
Online booking on any website
-
Booking on your website
A booking page of your own, or booking embedded with one line of code on WordPress, Wix or plain HTML. The app checks that the embed works.
-
WordPress plugin
A block, shortcode and widget for WordPress: set your clinic address once and add booking to any page. No cookies, no tracking.
-
Approval or instant confirmation
Bookings wait for reception approval or are confirmed automatically by your rules. Patients book without an account and manage the appointment by link.
-
Deposit by QR transfer
When your practice turns on prepayment, the patient pays a deposit by QR bank transfer after booking; once matched with the bank statement the booking confirms itself, an unpaid one is released after the deadline.
-
Gift vouchers in booking
A gift voucher with a PDF, active once paid; the patient redeems it with a code right in online booking.
-
Complaint text straight into the record
What the patient writes when booking pre-fills the first record.
-
Short questionnaire in booking
Therapy goal, duration of complaints and previous care go into the patient history once approved.
Patient account
-
Sign-in and linking with your practice
When your practice turns it on, patients sign in with an e-mail code, no password, and ask to link with your practice; the link exists only once reception confirms the right record. One account for several practices, device sign-out and account deletion. The account is separate from staff sign-in.
-
My appointments
A linked patient sees their appointments at your practice, books, reschedules or cancels according to your rules (deadlines, number of reschedules, late cancellation) and joins the waitlist with time windows. Every change is audited and reaches the calendar and messages as usual.
-
Payments and documents
A linked patient sees what they owe your practice, pays a request by QR transfer or by card online, books services that need a deposit, downloads their invoices and sees passes, gift vouchers and the card saved for the no-show fee. They never see another patient’s payments.
-
Home exercise
A linked patient sees the exercise programme from their therapist with photos and videos, ticks off exercised days, records pain before and after exercising and a note, and sets e-mail reminders (your practice’s quiet hours apply). The therapist sees adherence, the streak and the pain trend in a chart on the patient record. Only the practice owner, administrators and the patient’s therapist see the entries.
-
Care and documents
The therapist explicitly shares what the patient should see: the course of care (sessions done and left, referral deadlines), chosen parts of a signed record, the final report, a visit summary or a file to download. The patient never sees a draft or a voided record, stopping sharing hides the document at once and every view by the patient is audited. The e-mail about a new document contains no health information.
-
Messages with your practice
Patients write to your practice from their account – with a topic and optionally a photo or PDF that passes an antivirus check – and see your replies. Reception has an inbox with an unread badge, assigns messages to a therapist and marks them resolved. Content is encrypted, the e-mail to the patient only says “You have a new message”, and messages are not for emergencies. You switch it on in the practice settings.
-
App and notifications
Patients add their account to the phone’s home screen as an app (on iPhone via Add to Home Screen) and turn on notifications for a new message, a new document, exercise and appointment reminders or an earlier-appointment offer. Notifications never contain health information or names, your practice’s quiet hours apply, and without them alerts arrive by e-mail. Offline the app only shows an offline page – no account data stays on the phone.
Calendar without double bookings
-
Collisions guarded by the database
A therapist, room or device cannot be booked twice – the rule lives in the database, not just on screen.
-
Schedules, series and substitution
Versioned schedules with exceptions, recurring appointments, free-slot search and cover for an absent therapist.
-
Live calendar
Changes by reception and therapists show up for everyone instantly, without reloading.
-
Multiple locations
Locations with address, opening hours and patient instructions; a therapist can work at one in the morning and another in the afternoon. Patients pick the location when booking online, messages carry the right address, and revenue and the daily closing are per location. Your accountant sees the finance of all locations, never the medical records.
Patient records with signatures
-
Patient file and care episodes
Patients, attendance, referrals with deadlines and care episodes on one timeline.
-
Versioned, signed records
A signed record cannot change: a correction is a new version and the original stays. You can verify record integrity in the app.
-
Attachments and consents
Attachments wait in quarantine until they pass a check. GDPR consents and notices, read audit and export for the patient.
-
Report to the general practitioner
Prepare a report for the GP from an episode – diagnoses, findings, course and recommendations are prefilled from signed records. Sign it like a record and send it only with the patient’s consent: by e-mail with a secure link and a code the doctor receives separately, or printed. You see when the doctor opened it.
-
Take your data with you any time
Export all practice data in one step; it works even in restricted subscription mode.
-
AI note assistant
Dictate the note and the assistant proposes its structure. The proposal is always labelled as an AI draft and never signs itself: the therapist always decides and signs.
-
Progress photo comparison
Two therapy photos side by side with their dates – the patient’s progress is visible at a glance. Only authorised users can open the photos and every view is written to a view log.
-
Exercise library
Your own exercises with photos and videos shared with patients through a secure link.
Payments, invoices and bank
-
Payments and cash desk
Cash, card terminal and transfers, one payment for several visits, cash closings. Passes and gift vouchers.
-
Invoices and buyers
Tax invoices with credit notes and PDF, buyers with company details loaded from the Czech ARES registry.
-
Bank matching
Import statements from any bank (GPC/ABO, camt.053, CSV) or the Fio API; payments match by variable symbol, unclear cases are confirmed by reception.
-
Exports for your accountant
The practice owner, an administrator or your accountant downloads a monthly package (ZIP) in Payments: payments as CSV for Excel, invoices as PDF and ISDOC, and a summary. Cash methods reconcile with closings to the cent. Accountants have their own role without access to medical records.
-
Practice reports
Therapist and room utilisation against the schedule, no-shows and cancellations, new and returning patients, revenue per hour and location comparison – by month, quarter or custom period with comparison and CSV export. Summary figures only, no patient names; revenue matches the accountant exports to the cent.
Automation and reminders
-
SMS and e-mail rules
Reminders with any timing and conditions, a navigation link to the branch, a visit summary behind a secure link with a code.
-
Event-driven automations
Rules run by themselves on calendar events (cancellation, no-show, end of care). Your practice switches them on in settings, every run is logged without personal data and nothing is sent twice.
-
Waitlist and stand-ins
A cancelled appointment is offered automatically to waiting patients and acute stand-ins by e-mail or SMS; the first to confirm gets it.
-
No-show prevention
A risk score from the visit history based on fixed rules (no AI): attendance confirmation requests, a deposit for online bookings and a no-show fee from a saved card. Reception can waive anything with a reason; patients learn about it in the privacy notice.
-
Referral watch and recall
An overview of referrals with deadlines at risk or missed (14 / 40 days / 5 months). Patients with unused sessions get an offer to book, and a check-up invitation after care ends – by e-mail or SMS (test sending for now).
-
Reminders and debtors
Overdue reminders with a QR payment and a debtors overview; paying by any means stops the reminders.
Get started on your own
-
Sign-up and setup wizard
Sign-up with two-factor authentication, a practice setup wizard and a 30-day trial.
-
Try the demo
Fill in a few details and try FyzioPlan right away on sample data – without setting up a practice and without touching real data.
-
Patient import
Import patients and visits from CSV or Excel with a precise error overview and undo. We help with a transfer from another system.
-
In-app help
Help for every screen right in the app, in Czech, Slovak and English.
-
Czechia and Slovakia
The practice country is chosen at sign-up: a Slovak practice gets the app, booking, patient account, messages and documents in Slovak, prices and payments in euros, PAY by square QR payments, Slovak bank statements, Slovak VAT rates and holidays, invoices under Slovak law and company details from the RPO registry. A Czech practice stays in crowns with SPAYD and ISDOC.
-
Dark mode
The app, the booking page and the patient account in light or dark mode – following the system or the user’s choice. Automated tests keep the contrast readable.
