The Reports screen shows summary figures of the practice – counts, hours and amounts only, never patient names or other patient data. At the top choose the period (month, quarter or custom, at most one year), location, therapist and comparison with the previous period (previous month, quarter or a period of the same length just before). Download any report with Download CSV (for Excel, semicolon and decimal comma) – the file contains exactly the tables on screen.

Who sees what

  • Owner and admin: all reports.
  • Therapist: only their own utilisation and no-shows of their patients.
  • Accountant: revenue only; services with fewer than 5 payments are merged into “Other” so that no individual patient can be recognised.
  • Reception: no reports.

Utilisation

Utilisation = visit time within working hours / available time from the schedule (working hours from Settings → Working hours minus leave, sick days, time off, public holidays, blocks and meetings). A visit outside the schedule does not count towards utilisation and is shown separately as “outside the schedule”. The report is broken down by therapist, location and room (room capacity = the time someone works at its location), over time and in a weekday × hour grid – a darker colour means a fuller hour.

No-shows and cancellations

Attendances of appointments that have already started are counted. No-show rate = no-shows / (attended + no-shows). Cancellation = excused attendance, late cancellation = excused less than 24 hours before the start (or as set in no-show prevention). The report is broken down by therapist, service, location, booking lead time and how early the patient cancelled.

Retention

A new patient has their first visit to the practice in this period, the others are returning. Further: the share of patients with 2 or more visits, visits per closed episode and churn: a patient with no further visit or appointment within the chosen number of days (default 60) after the last visit. The Waitlist and patient outreach section shows how many appointments the waitlist filled and how many patients booked within 30 days of a check-up invitation or an offer of remaining sessions (referral watch).

Revenue

Revenue is computed like the accountant documents: payments on the day paid minus refunds on the day refunded, including pass and gift card redemptions (“of which money” excludes them), with base and VAT. The total matches Payments → For accountant to the cent. A payment is split per therapist and service by its items (refunds proportionally); pass sales, fees and other items are “unassigned”. Revenue per scheduled hour = revenue / available hours, per booked hour = revenue / booked hours.

Location comparison

Key figures of all locations side by side: utilisation, no-show and cancellation rates, patients, new patients, revenue and revenue per scheduled hour.

UZIS report data

Annual UZIS report data (Reports → button, owner and admin only, Czech practices only): for the chosen year it computes the figures for report A (MZ) 1-01 (variant A052: staff, activity, newly admitted by diagnosis and sex, type of service), E (MZ) 4-01 (employers) and prefills E (MZ) 1-01; for specialty 080 it points to T 1-01. Missing data (a worker’s FTE, employment type and sex, a service’s UZIS type, examination and home visit) can be filled in on the page. The output is a table, CSV and print; FyzioPlan submits nothing, the report is filled in online in the UZIS form by 30 April.
