The import is run by the clinic owner or an admin with two-factor authentication. The file stays in your browser; only the rows read from it are sent to FyzioPlan and nothing is saved before the preview.
Steps
- Open Settings → Data import and choose whether you import patients or visits. Always import patients first – visits are matched to them.
- Upload an Excel (.xlsx) or CSV file. The first row must be a header with column names.
- Check the column assignment. For visits, assign therapists, services and locations to the values in the file. You can save the mapping for the next import.
- Check sends the rows for validation. The preview shows control totals: how many rows are fine, how many have an error, how many are duplicates and, for visits, totals by month.
- Import saves the valid rows. The import runs in parts and can be paused; nothing is duplicated.
- In the result, download the report (CSV) with errors and the data of problem rows, fix them and import just those again.
What is checked
First and last name, date of birth, birth number (format; an invalid checksum is only a warning), phone, e-mail, health insurer. A patient who is already in FyzioPlan (same birth number, or name with date of birth or phone) is skipped by default; you can also fill missing details into their record. For visits, a therapist cannot have two appointments at the same time and must provide the service – such rows end up in the report as errors.
Repeated import and undo
You can import the same file again: rows imported before are recognised and nothing is duplicated. The owner can undo an import within 7 days – imported records and visits that nobody has changed since and that nothing refers to are deleted.
