The Payments → Debtors tab shows patients who have an amount past the due date as of today. The owner, administrators, reception and the accountant can read it; the owner, administrators and reception send reminders, only the owner and administrators can mark a payment “do not collect”.

What is overdue

  • Payment request: a pending bank transfer or QR payment with a variable symbol. The due date is the visit date (or the request date, if earlier) plus the clinic's due period – 7 days by default.
  • Visit without payment: a past paid visit with no payment at all. It is also a debt after the due date.
  • Online booking deposits and imported payments are not collected here – they have their own deadlines.

Totals are per currency and by days overdue: 0–30, 31–60, 61–90 and over 90 days. You can filter by location, age and name and download the overview as CSV for Excel.

Send a reminder

The Send reminder button turns the patient's visits without payment into a payment request with a QR code (the due date stays based on the visit) and e-mails the patient the amount, account number, variable symbol, a QR code attachment and a link to the payment page. The page shows only the clinic, amount, account, variable symbol and QR code – no visit or health data. A patient gets at most one manual reminder per day. In the patient detail you can remind a single request or just create a payment request.

Automatic reminders on a schedule (by default one day and one week after the due date) are switched on in Settings → Automations – see Automations. Reminders respect the patient's opt-out and quiet hours from Notifications.

Payment and do not collect

As soon as the request is paid – in cash or by card at the reception, or matched from the bank by the variable symbol – no further reminders are sent and scheduled ones are cancelled. The payment page then only shows “paid”.

Do not collect (with a reason) removes the request from reminders and from the overdue totals; you will find it under Only “do not collect” and can Collect again. The payment itself is not cancelled.
